LEGACY SYSTEM ASSESSMENT · BRISBANE, AUSTRALIA

Is Your Business Running on Software
That's Quietly Becoming a Liability?

Legacy systems don't fail all at once. They slow down, create security risks, and fall further behind — while your team quietly works around them every day.

THE PROBLEM

Does Any of This Sound Familiar?

These are the most common things we hear from businesses before they book an initial assessment call.

Nobody Fully Understands It Anymore

The person who built it is gone. Documentation is thin. Making changes feels risky. Everyone is afraid to touch it.

It Won't Connect to Modern Tools

Accounting software, CRMs, reporting tools — your system can't integrate with them. Every connection is a custom workaround or manual process.

Security Hasn't Been Reviewed in Years

You're not sure what version it's running on. Patches may have been missed. You don't know if customer data is properly protected.

It's Slow — and Getting Slower

Staff wait. Workarounds pile up. Simple tasks take longer than they should. The system is becoming the bottleneck in your operation.

There's No Real Support

When something breaks, there's no team to call. You're relying on one person, a freelancer, or nobody at all.

It Can't Scale With You

As your business grows, the system can't keep up. Adding users, locations, or new processes means starting over or building on a broken foundation.

If two or more of these apply — your system is already a business risk. The question is how serious.

SELF-ASSESSMENT

8 Warning Signs Your System Is Already a Risk

Be honest. Check every one that applies to your business right now.

  • The system was built or last updated more than 5 years ago
  • The original developer or vendor is no longer involved or available
  • You can't easily connect it to other modern business tools
  • Nobody on your internal team fully understands how it works
  • Updates and changes are slow, avoided, or feel risky to make
  • You're not confident your data is properly backed up and recoverable
  • Security hasn't been formally reviewed in the last 12 months
  • Staff have built their own workarounds because the system can't do what they need
Your count: 0 / 8 Likely in reasonable shape
0 – 2 checked Reasonable shape

Your system is likely in reasonable shape. An initial assessment can confirm this and give you peace of mind.

3 – 5 checked Moderate risk

Your system has moderate risk. Now is the right time to understand it — before something forces your hand.

6 – 8 checked Serious business risk

Your system is a serious business risk. You need an honest picture of where you stand, immediately.

THE REAL COST

What a Legacy System Actually Costs You Every Year

Most businesses never calculate this. Here is what we typically find when we audit a system that has been running unchecked.

Hidden Cost
Typical Annual Impact
Staff time lost to slow systems and manual workarounds
AUD $15,000 – $40,000
Manual data re-entry because systems don't integrate
AUD $8,000 – $20,000
Emergency fixes when something unexpectedly breaks
AUD $5,000 – $25,000 / incident
Compliance failures or data breach exposure
AUD $10,000 – $100,000+
Lost contracts due to inability to meet modern requirements
Unquantified opportunity cost
Most businesses we audit are losing AUD $50,000 – $150,000 per year — without realising it.

The free assessment helps you understand where that number may be coming from.

REAL CONSEQUENCES

What We Have Seen Happen When Businesses Wait

These are not hypothetical. These are patterns we see repeatedly.

Legacy System Risk

Ageing Systems

1 in 4 SMEs still operate on outdated or unsupported systems.

Many Australian businesses continue to rely on ageing or disconnected systems that were never designed for current operational, compliance, or growth requirements.

Disconnected Platforms

Hundreds of hours lost yearly through duplicated manual workflows and disconnected systems.

Disconnected platforms, manual processes, and fragmented operational environments can increase complexity and reduce organisational resilience as businesses scale.

Undocumented Environments

Limited documentation can slow audits, onboarding, troubleshooting, and system recovery efforts.

As systems grow over time, undocumented configurations and processes can create operational complexity and continuity risk.

INDUSTRIES

We Work Specifically in Three Industries

We chose depth over breadth. These are the verticals we know inside out.

Logistics & Transport

Legacy systems in this industry typically struggle with real-time job tracking, driver management, customer visibility portals, and connecting to accounting or fleet management tools.

We have audited systems running on Microsoft Access databases managing over $10M in annual freight operations. The risk is real and common.

Common symptoms we find

  • Dispatchers using spreadsheets alongside the main system
  • No customer visibility — clients calling to ask where their freight is
  • Invoicing disconnected from job completion — revenue leakage
  • No mobile access for drivers or field staff

What we fix

Job dispatch platforms, driver mobile apps, customer tracking portals, MYOB and Xero integration, real-time operational dashboards.

Healthcare & NDIS

Legacy systems in this industry typically struggle with compliance reporting, participant management, staff rostering, and NDIS portal integration.

The risk here is uniquely high. A data breach or compliance failure in healthcare can end a business overnight — and regulators are actively looking.

Common symptoms we find

  • Staff manually producing compliance reports from multiple sources
  • Participant records in spreadsheets alongside the main system
  • No audit trail for incidents, medications, or care decisions
  • NDIS portal data entered manually — hours of admin per week

What we fix

NDIS management platforms, automated compliance reporting, incident and care documentation, audit-ready record keeping, staff rostering integration.

Construction & Field Services

Legacy systems in this industry typically struggle with job costing, site management, subcontractor coordination, document control, and WHS compliance.

WhatsApp groups, shared spreadsheets, and paper forms are almost always the symptom of a system that can't do what the business actually needs.

Common symptoms we find

  • Job costing done in spreadsheets — no live P&L visibility
  • Subcontractors not connected to the system at all
  • Compliance documents managed in email or shared drives
  • Site supervisors not able to update progress without calling the office

What we fix

Field operations platforms, job management and costing, subcontractor portals, WHS compliance documentation, real-time crew and job visibility.

Not in one of these industries? We still run initial assessment calls across all sectors.
Book a call — we will tell you honestly whether we are the right fit.

We call you within 24 hours to understand the situation and confirm whether we are the right fit. This is a quick, plain-English call, not a technical audit.

3
Step 3 · 30–45 minutes

COMMON QUESTIONS

Answers Before You Ask

Do I need to give you system or codebase access for the first call?
No. First, submit the form. We then call you within 24 hours to understand the problem and decide whether we can help. If it looks like we can help, we organise a 30–45 minute meeting and sign a mutual NDA before any codebase access, system access or sensitive technical detail. Your data and business information are protected with us. Codebase access can make the audit report more accurate, but it is only discussed after the NDA.
What if you decide you cannot help us?
We will tell you clearly on the initial call. The first step is not a sales call; it is a fit call. If we are not the right team, or if your system does not need our help, we will say so and point you in the right direction where we can.
Are you going to try to sell us something on the first call?
No. After you submit the form, we call within 24 hours to understand whether we can help. If we can, the next step is a protected 30–45 minute meeting and a free audit report within 5 business days. If there is a logical next step after that, we explain it clearly. You decide if and when to proceed.
How long does the whole process take?
Form submission first. We call within 24 hours. If we can help, we organise a 30–45 minute meeting, sign an NDA before sensitive details, then send your free audit report within 5 business days after the meeting. A paid Full Audit usually takes around 3 weeks. If a project follows, delivery is usually 12–16 weeks depending on scope.
What does modernisation actually involve?
It depends on what the audit finds. It typically involves fixing security vulnerabilities, upgrading to supported software versions, improving performance, rebuilding broken or missing integrations, improving documentation, and putting a proper support structure in place. The goal is a system your team can rely on — and that you understand.
How do you decide whether to modernise or rebuild?
We look at the age of the architecture, the quality of the codebase, the volume of technical debt, what the system needs to do in 3–5 years, and the cost comparison of each path. Some systems are worth fixing. Others are genuinely better replaced. We tell you which is which — and explain why.
What happens after the project is delivered?
Year 1 support is included in all project costs. After year 1, you can maintain the system internally, continue with us on a support retainer (AUD $2,000–$5,000/month), or engage us for specific changes as needed. There is no lock-in.
Can you integrate our system with [specific tool]?
Usually yes. We integrate with accounting software (MYOB, Xero), CRMs, ERPs, industry-specific platforms, and APIs. Some older systems make this harder. We assess integration feasibility as part of the Full Audit and tell you honestly what is achievable.
We are not in Brisbane — can you still help us?
Yes. We work with businesses across Australia. Most audit and project work is conducted remotely, with on-site visits where necessary and agreed.
What if we just want a second opinion on something we already know?
That is a perfectly valid reason to book a call. We are happy to review specific concerns, give an honest assessment of a proposal you have received from another vendor, or sense-check a decision your team is considering.
