Purpose-Built Inspection Management Software for Building & Fire Compliance

For many inspection businesses, completing the onsite inspection is only part of the job. The bigger operational challenge can happen between the inspection and the final report.

Inspection records may be completed on paper forms or spreadsheets, while photographic evidence is captured separately on mobile phones. Back at the office, administration staff then have to interpret handwritten records, match photos to inspection items, check that nothing is missing, re-enter information and prepare the required reports.

For Plus Technologies, this created an opportunity to build a more connected way of working.

ISH Technologies worked with the team to develop Certifired, a SaaS-based web and mobile inspection management platform designed around the complete inspection workflow.

The Challenge: Too Much Manual Work Between Site and Report

The existing process created several operational challenges:

  • Inspection records were spread across paper forms, spreadsheets, photos and other files, making information harder to manage.
  • Handwritten inspection records could be difficult for administration staff to read, increasing the risk of inaccurate data entry.
  • Photographic evidence was captured separately, making it possible for required photos to be missed or difficult to match with the correct inspection item.
  • Office teams spent significant time re-entering and organising inspection data before reports could be prepared.
  • Limited traceability made it difficult to quickly identify who completed what, when the work was performed and what information had been captured.
  • Missing inspection information or evidence could require contacting the inspector again and potentially create additional work.
  • Inspection reports required significant administration to bring records, evidence and other information together.

The problem wasn't simply paper forms or spreadsheets. It was the manual administration, missing information and potential errors between the person performing the inspection onsite and the final report.

The Solution: Capture the Right Information at the Source

Certifired brings the inspection process into one connected digital workflow.

Instead of capturing inspection information in different places and reconstructing it later, inspectors can use the mobile application to record inspection data, defects, photographs and supporting evidence onsite.

The workflow can also include controls around the information required during an inspection. This helps reduce situations where the office discovers later that important inspection information or photographic evidence is missing.

Inspection → Guided Digital Capture → Required Evidence → Review → Synchronise → Report

This reduces the need for administration teams to interpret handwritten records and repeatedly re-enter inspection information after the work has been completed onsite.

Clearer Traceability — Who Did What and When

Moving inspection records into a connected system also provides a more structured and traceable operational record.

Rather than searching through forms, files, spreadsheets and photographs, the business can more easily understand who performed the inspection, what information was captured and when the activity occurred.

For inspection and compliance businesses, this improves traceability and makes historical inspection records easier to find when they are needed.

Offline Inspections When Internet Isn't Available

Inspectors can work in basements, lower levels and other parts of buildings where mobile reception or internet connectivity may be unreliable or completely unavailable.

Certifired's mobile application therefore supports offline inspections.

Inspectors can continue capturing inspection data, defects and evidence while offline, with the information stored on the device. When connectivity becomes available again, the inspection records can be synchronised with the central platform.

Work Onsite → Work Offline → Capture Information → Reconnect → Synchronise

The inspection doesn't have to stop simply because the internet does.

From Onsite Inspection to Reporting

One of the biggest benefits of a connected inspection workflow is reducing the administration required between completing the work onsite and producing the final report.

Instead of:

Paper Forms / Spreadsheets + Separate Photos + Manual Data Entry + Templates → Report

The process becomes:

Inspection → Capture → Validate → Synchronise → Review → Report

Inspection data and supporting evidence required for reporting are captured as part of the inspection process itself, reducing repetitive data entry and the time spent piecing information together afterwards.

AI-Assisted Image Recognition

Certifired also incorporates AI-assisted image recognition into the inspection workflow.

Images captured onsite can be analysed by the system to provide additional feedback relating to potential issues being documented.

AI supports the inspection process rather than replacing the inspector's professional judgement, demonstrating how AI can be incorporated into a real operational workflow rather than being used as a standalone feature.

The Outcome: One Connected Inspection Workflow

Certifired transformed a fragmented process into a connected workflow bringing together onsite inspections, inspection records, photographic evidence, defect information, offline working, traceability, office review, inspection reporting and AI-assisted image analysis.

The result is more than a digital inspection form.

It is a connected operational workflow from the person performing the inspection onsite through to the final report.

And the challenge isn't unique to building and fire compliance. Many inspection and compliance businesses face the same operational problem: information is captured in multiple places and the office spends significant time reconstructing it afterwards.

ISH Technologies builds operational software around these gaps — connecting the work happening onsite with the information and processes required back in the office.

Result

Certifired transformed a disconnected inspection process into one connected workflow from onsite inspection through to reporting.

Inspection information, photographic evidence, defects and activity records can be captured as part of the same process — helping reduce manual administration, improve traceability and make reporting more efficient.

Inspect → Capture → Validate → Synchronise → Review → Report
